Job Description

Maintaining condominium properties and individual homes is a never-ending task that can overwhelm homeowners, board members and property managers alike. Between routine upkeep and unexpected repairs, keeping our properties beautiful and functional is time-consuming and stressful, especially if you cant be sure that the work is high-quality. Associa OnCall (AOC) is Associa Calgarys in-house team of maintenance experts, handling any job from painting to roof replacement. Through our robust team of sub-contractors, AOC continues to grow their service offerings to managed communities daily and team members are consistently committed to delivering superior levels of customer services to our clients regardless of the property type or size.

Reporting to theField Services Director, the Field Services Coordinator is responsible for providing clerical and administrative support to Associas in-house maintenance division, AssociaOnCall. The Field Services Coordinator is the liaison between AssociaOnCall and interacts with Associas Community Managers, customers and Associas Subcontractors

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned)

Work with managers developing trust and driving work orders to in house maintenance.
Receive work orders.
Input work orders into management software.
Communicate schedule and completion of work orders with community managers.
Issue work orders to technicians.
Receive work order completion notes from technicians.
Input information for billing; Process all invoices from sub-vendors within 10 business days
Track the completion of work orders.
Provide Managers with status and completion updates for open jobs.
Enter & close out work orders in Metrix Service Management.
Enter, monitor, and close out bids from Subcontractors in Metrix Service Management.
Manage property maintenance inspections.
Act as the scheduling manager for large projects.
Assist with miscellaneous projects as assigned by the Director of Field Services

Requirements

QUALIFICATIONS

College diploma in construction management related program; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Outstanding people/customer service skills.
Superior communication skills (listening, speaking, writing).
Effective change management and problem solving ability.
Working knowledge of Accounts Payable systems and general accounting principles.
High degree of flexibility and high tolerance for change.
Must be able to work as a team member.
Excellent verbal and written communication skills.
Multi-Task oriented.
Organizational skills.

Computer Skills

Must have working knowledge of Microsoft Word.
Must have working knowledge of Excel.
Must have working knowledge of Outlook.
Must be able to learn multiple new software programs and understand how they work together.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add and subtract two digit numbers and to multiply and divide with 10s and 100s. Ability to create and manipulate a spreadsheet in Excel. Ability to perform these operations using units of Canadian money and metric weight, volume, and distance measurements.
