As the project administrator you will provide day to day and specialized administrative support to the Project Manager of Capital and Asset Management. Primary duties include:
Draft documents, format and proof documents started by others in unit, prepare final copy, make copies; mail, file and distribute as necessary.
Perform financial reconciliation for general ledger entries and project manager tracking sheets, audit and identify discrepancies for the Project Manager to resolve.
Draft City of Calgary form responses for Project Manager.
Liaise with vendors as required regarding invoicing.
Book internal and external meetings, prepare agendas, meetings minutes as required.
Process accounts payable invoices, track status, ensure vendor payment as requested.
Create and distribute reports from Peoplesoft/Business Objects.
Maintain master project records and base information.
Administer and update SharePoint.
Maintain current process models, validating links, and managing comments for improvement.
Troubleshoot, provide ongoing system support and user training.
Initiate project tiles, filing structures and recording templates for new projects on an ongoing basis.
Prepare for new staff by planning and arranging for phones, computer, security and network access.

Qualifications
A completed one year diploma in Business and a minimum of three years of related experience.
Requires an intermediate level of proficiency with Microsoft Office (Access, Excel, Word).
Previous experience utilizing PeopleSoft/Business Objects and SharePoint or equivalent systems are required.
Experience in a construction environment is preferred.
Possess the ability to multitask, manage multiple priorities and excellent communication skills.
Previous experience with Financial Supply Change Management (FSCM) and Invoice Processing would be considered an asset.

Location : 2255 Crowchild Trail N.W.
Compensation : Pay Grade 7 $31.72 - 42.44 per hour
Days of Work : This position works a 5 day
work week with one day off in a 3 week cycle.
Hours of work: Standard 35 hour work week
