PRIMARY PURPOSE OF ROLE
Why does the role exist
Using a flexible and adaptable approach the responsibilities of the Property Manager include:
To effectively and efficiently carry out the tasks and deliver the services required of BGIS under the terms of the Agreement with the Client(s);
Working closely with the management team to formulate and implement proactive and innovative strategies for the clients property / portfolio;
Achieving optimal property / portfolio performance by maximizing returns and minimizing operational costs;
OHS & E policies and procedures are met and maintained by all stakeholders.
Meet all Contract financial KPIs.
Prepare, submit and present accurate yearly budget, quarterly reforecast and monthly accruals to the Contract Manager and / or Client for approval.
Prepare, update and raise Client invoices (Contract and Variations) ensure timely payment is received.
Review and approve all invoices under contract and BGIS guidelines and submit for payment.
Quote additional works as required and submit recommendations / proposals for Client approval.
Provide performance reporting of real estate transaction activities against agreed performance parameters.
Manage all rent review processes (market and fixed/CPI) in accordance with the set KPIs.
Manage the process of rental collection for the allocated portfolio.
Liaise with the Clients appointed Debt Recovery and other suppliers in regard to financial recoveries.
Prepare and submit an annual budget report which details revenue, costs and projected costs.
Day to day property and tenancy management in accordance with the clients business procedures and protocols and the agreed Annual Property Plan.
Represent the in respect to ownership and tenancy issues that arise.
Manage all relevant documentation, maintain lease register and ensure that property database maintains current information.
Follow data management practices to ensure data integrity in the nominated management information system (MIS).
Assist in the procurement of valuations, leasing services and manage leasing for vacant areas as directed by the client.
Work closely with the Facilities Management Team on the implementation of green leasing strategies.
Ensure compliance with relevant laws, regulations, codes and standards.
Ensure full compliance with BGIS business systems, including the Quality Management System (QMS), Occupational Health & Safety System (OH&S) and Environmental Management System (EMS), & soft copy information is stored on SharePoint.
Understand the WHSE requirements and processes for work tasks and the elimination of workplace hazards.
Participate in near miss, hazard and incident reporting and follow up on corrective actions.
Conduct work activities in accordance with proper procedures, equipment, and training and in accordance with BGIS Management system.
Report hazards, unsafe work practices, near misses, or incident immediately to your supervisor.
QUALIFICATIONS & EXPERIENCE
What are the essential post-secondary qualifications, industry experience and technical expertise required to meet the key requirements of the role
Knowledge / Experience
Strong demonstrated experience in a property or corporate real estate environment or at a senior level in a similarly complex industry.
Proven ability in working within an integrated services and property model delivering a Property Management, Facilities Management, Project Management and Financial Management Services.
Sound knowledge and experience in Government practices, relevant legislation and policies standards and agreements pertaining to property.
Demonstrated experience in real estate negotiations.
Strong business acumen with demonstrated business planning and high-level financial knowledge and skills.
Proven capability of working within an environment using QA, OH&S and environmental systems.
Able to respond quickly to change and adopt a flexible/ innovative approach to problems and opportunities.
Proficient in desktop applications such as Word, Excel, and Outlook.
Knowledge and experience in the use of a Computerised Maintenance Management System knowledge (CMMS).
An understanding of analysis, interpretation and reporting requirement related to property-related information and trends.
Expertise in use of property management information systems.
A current Real Estate Certificate of Registration or Licence.
Formal tertiary qualifications in Property, Commerce, Business or similar discipline.
Current Drivers Licence.
Training in current OH&S, QA and ideally environmental legislations and systems.
